Coordinator of Administration

Job Description
Who is a Coordinator of Admin?
The Administrative Coordinator will be responsible for accurate and timely administrative office
functions including but not limited to: creating schedules, reviewing hours, applicant screening,
new hire processing, report approval, payroll processing, invoicing, collections, and office file
management.
Roles:
- Maintain multiple Excel spreadsheets for the creation of schedules, monitoring of business equipment, and client data
- Become proficient with operations software to implement schedules, payroll, invoicing, and reports.
- Understand and track monthly profitability, expenses, and financials.
- Manage the collections process so all clients are paying on time
- Monitor the overtime and scheduling of all security officers
- Assist with the hiring process and ensure all hiring paperwork is completed on time.
- Ensure compliance with state licensing process of all security officers.
- Maintain physical and electronic filing systems.
- Communicate with the owner as needed to problem solve and gain accurate information for expenses.
- Provide customer service support to clients on general questions, operations software support, invoicing, and collections by communicating in a helpful manner via phone and/or email.
Type of Individual:
- High school diploma or equivalent required
- Associates degree in relevant area preferred
- Minimum of one year in a growing organization with a fast-paced office environment
- Experience with using Excel to manage reports and analysis processes
- Experience with accounting systems preferred, but not required
Skills/Abilities:
- Self-starter and ability to work independent of instruction
- Effectively communicate with staff and clients
- Possess general accounting knowledge
- Intermediate to Expert skill level with Microsoft Excel, Word, and Outlook
- Solid organizational skills
- Consistent attention to detail
- Ability to handle multiple projects at a time, shifting priorities as necessary
- Excellent problem-solving skills
- Conducts self in accordance to Signal 88 Core Values and by the Signal 88 employee handbook
Environmental/Working Conditions:
Normal office environment. Occasional overtime may be required and/or hours may be shortened as business needs dictate.
Physical Demands:
Requires sitting and standing associated with a normal office environment. Manual dexterity
needed for using a calculator and computer keyboard. This description is intended to provide
